Virtual Assistant

Our client, an emerging startup in the educational technology space, is on a mission to redefine the learning experience through cutting-edge digital solutions.

They are seeking a detail-oriented Virtual Assistant to support their mission. This role requires a reliable individual who can follow instructions meticulously, manage communication between parents and teachers, and handle scheduling and administrative tasks efficiently.

Location: Fully-Remote (Work from Home), 9 AM - 5 PM EST

Key Responsibilities:

  • Meeting Coordination: Facilitate the scheduling of meetings, ensuring all parties are informed and prepared.

  • Task Management: Follow a detailed task list to ensure all responsibilities are completed accurately and on time.

  • Email Communication: Write and send emails based on provided templates, ensuring clear and effective communication.

  • Parent and Teacher Communication: Manage communications between parents and teachers, addressing inquiries and providing necessary information.

  • Training and SOPs: Adhere to standard operating procedures (SOPs) and participate in training sessions to ensure alignment with the organization's processes.

  • Occasional Phone Support: Provide phone support as needed, assisting with inquiries and coordinating with stakeholders.

What Success Looks Like:

  • Efficient Scheduling: Meetings are scheduled smoothly and efficiently, with all participants well-informed and prepared.

  • Accurate Task Completion: All tasks are completed accurately and on time, following the provided task list and instructions.

  • Effective Communication: Clear and professional communication is maintained with parents, teachers, and other stakeholders.

  • Adherence to SOPs: All procedures are followed correctly, ensuring consistency and reliability in task execution.

  • Proactive Support: Proactively identify and address any issues, contributing to the overall efficiency and effectiveness of the organization.

Required Skills and Qualifications:

  • Detail-oriented: Strong attention to detail and the ability to follow instructions precisely.

  • Communication Skills: Excellent written and verbal communication skills in English. Conversational Spanish is preferred.

  • Organizational Skills: Strong organizational abilities to manage multiple tasks and responsibilities effectively.

  • Familiarity with Project Management Tools: Experience with Monday.com or similar project management tools is a plus.

  • Customer Service Skills: Experience in managing communications with a friendly and professional demeanor.

  • Supportive and Collaborative: Ability to work well in a supportive role, adhering to SOPs and participating in training sessions.
