The Opportunity

We are seeking a Recruiting Coordinator / Recruiting Operations Specialist to join our efficient and productive recruitment team. In this role, you will spend ~50% of your time coordinating interviews and managing written communication with candidates and ~50% providing recruitment operations support and administration.

What You'll Do

  • Manage communication with candidates, answering inquiries, providing regular updates, and ensuring a positive candidate experience

  • Coordinate interview scheduling between candidates, interviewers, and hiring managers and make changes when needed

  • Manage Ashby ATS and other recruiting tools to create job postings, ensuring 100% data accuracy and compliance

  • Maintain accurate interview plans and workflows for job postings, candidate screening, interview scheduling, and offer management

  • Troubleshoot system or process-related issues to ensure smooth operations for the recruiting team

  • Document processes and create guides in Notion to create a reference library for team members

  • Support recruiters with operational improvements (e.g., templates, reporting, automation)

  • Act as the company’s brand ambassador on social media and during candidate interactions

  • Stay up-to-date on all the latest recruitment strategies and tools

  • Facilitate onboarding processes for new hires

What You Bring

  • At least 1 year of working experience as a Recruiting Coordinator, Recruiting Operations Specialist, Project Manager, or Business Assistant for a high-growth tech startup or high-volume tech recruitment agency

  • Excellent verbal and written communication in English (proficiency in Russian is a plus)

  • Excellent proficiency in ATS (e.g., Ashby), LinkedIn Sales Navigator, Perplexity (including prompting), Notion, interview notetakers, and AI tools

  • Equipment (computer, headset) and strong internet connection

  • Ability to work EST hours

Interviewing Process

  • Level 1 - 20-min video interview with the Recruiting Team Lead (General fit. Q&A)

  • Level 2 - 20-min Take-home assignment (Skills assessment)

  • Level 3 - Virtual interview with the CEO (Final)

  • Reference and Background checks: conducted after successful interviews

  • Job offer: provided to the selected candidate
