As an Company Secretarial Assistant to the Company Secretary (Amy), you will act as a liaison across the executive team, Grifflings, investors, and the Board. To begin with the role will be a combination of Committee and Board support as well as assisting the CEO (David) with administrative support and diary management. There is a lot of room to grow in this role and we are looking for an ambitious Company Secretarial Assistant.
Who are you
The ideal candidate for this job will have most of the following:
- An interest in the fintech and challenger bank space
- Experience of supporting a Company Secretary or working within a company secretarial function.
- Clear communication skills, particularly writing and minute taking
- Outstanding organisational skills, a systematic approach and excellent attention to detail
- The desire and ability to work in an autonomous fashion, using your initiative to look for ways to make the company more effective
- Excellent interpersonal skills and conduct - you’ll be the face of Griffin for many external stakeholders
- Proven ability to handle confidential and sensitive information with discretion
- Live within commuting distance of our London office (Moorgate) for office management. We see this being a once-a-week requirement.
- Exposure to managing events
Nice to have:
- Experience working in a tech startup environment
- Experience using relevant digital tools such as G-suite, Slack, Notion and Pitch.
What will you be doing here?
As a Company Secretarial Assistant at Griffin, you will:
- Support committees with organisation, review of papers, collation and distribution of packs,
- Draft clear and accurate minutes and actions in a timely manner;
- Collate documents for due diligence and KYC requests;
- Assist the team with management of post received at the office address;
- Manage all Companies House filing requirements;
- Assist the Company Secretary with record keeping including Director information, HMRC forms and declarations of interest;
- Assist the Company Secretary with Board reviews, end of year evaluations, annual report and company audits;
- Provide diary management and administrative support to the CEO
- Support exco by managing calendars, correspondence and preparing any agendas or materials;
- Support with planning and organising team events from a casual online social to a full-company offsite;
- Communicate with internal and external stakeholders on behalf of the team where needed;
- In-person office management responsibilities including managing security passes and ordering/restocking office snacks.
